Custom software shaped around your process, not the other way round
When off-the-shelf software almost fits but not quite, and the workaround has become a spreadsheet nobody dares touch, a focused custom application is usually cheaper than the workaround.

About custom web applications
Most businesses reach a point where the thing holding them back is not effort but coordination. A shared spreadsheet has become the system of record. Three people maintain versions of the same list. A process everyone understands exists nowhere except in habit. A custom application replaces that with something explicit, shared and reliable, built specifically around how your business works rather than how a product vendor assumed it should.
When a spreadsheet stops being enough
Usually a good fit for
- Businesses running critical operations on spreadsheets that have outgrown their purpose
- Teams paying for software where they use a fraction of the features and still work around gaps
- Companies with a genuinely distinctive process that generic tools cannot express
- Operations teams where the same data is entered into multiple systems by hand
- Businesses that need a system connecting departments that currently work in isolation
Signs it is time
- The master spreadsheet breaks when two people edit it and nobody knows which copy is current
- There is no history, so nobody can explain how a record reached its present state
- The process only works because one experienced person remembers all the exceptions
- Reporting means an afternoon of copying between files at the end of every month
- Off-the-shelf software forces a workflow that does not match how the business operates
Applications we build
Operations management systems
The core system that runs a specific part of the business: jobs, dispatches, projects, service calls or production, with the states and rules your process uses.
Internal tools and admin panels
Focused screens that let your team do one job well: data entry with validation, bulk processing, reconciliation, or a review queue.
Record and document management applications
Structured storage for contracts, compliance documents, certificates and records, with expiry tracking, search and controlled access.
Scheduling and resource planning tools
Allocating people, vehicles, machines or rooms against demand, with conflict detection and a clear calendar view.
Multi-department workflow systems
Applications where a record moves through sales, operations, finance and dispatch, with each department seeing what is relevant to them.
Spreadsheet replacement
Taking an established spreadsheet-driven process and converting it into a proper application, keeping the logic your team trusts.
What's included in every custom application
- Data validation at entry so bad records never enter the system
- Roles and permissions down to the field level where needed
- Full audit history showing every change, by whom and when
- Bulk import from your existing spreadsheets, with error reporting
- Search, filtering and saved views for the way each team works
- Configurable statuses and approval rules rather than hard-coded logic
- Scheduled tasks: reminders, escalations, recurring jobs, nightly syncs
- Export to Excel and PDF for the reports people still need on paper
- Notifications routed by role and event
- An interface that works on a phone for staff who are not at a desk
- 30-day bug-fix warranty after launch
Not included: third-party fees such as hosting, database and file storage, email or SMS sending, and licences for any software it connects to. These are billed to you directly at cost and estimated in the quote.

How a custom application gets built
Typical timeline: 8 weeks to 6 months, depending on scope and how quickly access and content arrive.
- 011-2 weeks
Discovery and process mapping
We watch how the work is done today, including the exceptions and the workarounds. The exceptions are usually where the real requirements hide.
- 023-5 days
Specification and data model
A written specification: entities, relationships, statuses, roles, rules and screens. You approve this before development starts.
- 031-2 weeks
Prototype the critical path
The single most important workflow is built as a clickable prototype and tested with the people who will use it daily.
- 044-16 weeks
Build in phases
Development in two to three week phases, each ending with something working that you can review and use.
- 051-3 weeks
Data migration and parallel run
Existing data is imported and verified, then the new system runs alongside the old process until the team trusts it.
- 06Ongoing
Training, rollout and support
Role-based training, written guides, and our 30-day bug-fix warranty from launch, when real questions arise.
Running a core process on a spreadsheet?
Tell us about it. You get a written scope and a fixed price, with no obligation.
How our fixed quotes and payments work →What a purpose-built system changes
What tends to happen, not a guarantee.
- 1
No more asking which copy is current
Everyone works from the same records, so time is spent on the work rather than on reconciling spreadsheet versions.
- 2
Process knowledge that outlives individuals
Rules encoded in the system keep working when your most experienced person is on leave or moves on.
- 3
Errors caught at entry
Validation at the point of data entry costs seconds. The same error found in month-end reporting costs a day.
- 4
Reporting that is already done
When operational data is captured properly, management reporting stops being an assembly job.
- 5
Software cost you control
You own the application. There is no per-user licence that grows every time you hire someone.
Is custom software worth it compared to off-the-shelf?
Not always, and we will tell you when it is not. If a standard product covers eighty percent of your need and the rest is negotiable, buy the product. Custom becomes the better answer when the gap forces daily manual work, when licence costs scale badly with headcount, or when the process is genuinely a differentiator for your business. We assess this honestly during the first discussion.
How long does a custom application take?
A focused single-purpose tool is usually eight to twelve weeks. A multi-module operations system is typically four to six months, delivered in phases so useful parts go live well before the whole is finished. We would rather ship a working first phase in eight weeks than a complete system in eight months.
What happens to the data in our current spreadsheets?
It is imported. We clean it, map it to the new structure, and run validation to surface duplicates and inconsistencies before they enter the system. Migration usually reveals data problems that were invisible in the spreadsheet, which is uncomfortable but valuable.
Who owns the code?
You do. The repository, the database and the hosting accounts are in your name. You can take the code to another developer at any time. We provide documentation so that is a realistic option, not a theoretical one.
What if we need changes after launch?
Most clients continue with a maintenance retainer or a small monthly development allocation, because real usage always produces refinements. There is no obligation to continue with us, and the code is documented so another team can pick it up.
Will our team be able to use it?
That is a design requirement, not an afterthought. We involve the actual daily users during design, keep screens focused on one task, and build for the devices they really use. If a system needs a training manual to perform a routine task, it has been designed badly.
Ready-made systems you can adapt
Order Management System
One system tracking every order from enquiry to delivery, whichever channel it arrived through.
Inventory & Dispatch Tracker
Live stock positions across every store and warehouse, with alerts before you run out and a record of what left.
Employee Management Portal
Attendance, leave, documents, expenses and approvals in one place staff can reach from a phone.
Approval Workflow System
Route requests to the right approver automatically, with delegation, escalation and an audit trail.
