API integration that makes your systems work together

Your website, ERP, CRM, accounting software and courier partner all hold pieces of the same information. Integration removes the retyping, so your team stops keeping systems in sync by hand.

About API & system integrations

Integration work is unglamorous and disproportionately valuable. Most businesses do not need a new system; they need the four systems they already pay for to stop being islands. The hard part is rarely the connection itself. It is deciding which system is authoritative for each field, what happens when one is unavailable, and how a conflict is resolved. We design for those questions first and then build the connection.

Is this for you

Signs your systems need connecting

Usually a good fit for

  • Businesses where the same order or customer is entered into two or more systems
  • Companies whose website and back-office system hold different versions of the truth
  • Teams manually exporting from one system and importing into another every day
  • Businesses adding a new tool that must work with what they already run
  • Companies whose systems each have an API that nobody has connected

Signs it is time

  • An order placed online is retyped into the accounting or ERP system by hand
  • Stock figures differ between the website and the warehouse system
  • Customer details updated in one place stay stale everywhere else
  • A daily export-and-import routine breaks whenever a column order changes
  • Courier tracking has to be checked manually and pasted into an email
What we build

Integrations we build

01

System-to-system integrations

Reliable connections between your website, ERP, CRM, accounting software, inventory system or logistics partner, with clear ownership of each field.

02

Payment and financial integrations

Payment gateway connections with webhook handling, reconciliation against orders and automatic status updates.

03

Logistics and courier integrations

Automated shipment creation, label generation, tracking updates flowing back to your system and to the customer.

04

Communication integrations

WhatsApp Business API, transactional email and SMS wired into your workflows so notifications are triggered by events rather than people.

05

Custom API development

Building a documented, secured API for your own system so partners, apps or other software can connect to it properly.

06

Legacy and file-based integration

Working with systems that have no modern API, through database views, scheduled file exchange or screen-level automation where nothing else exists.

Included as standard

What's built into every integration

  • Field-level mapping with a written record of which system owns which field
  • Conflict resolution rules agreed in advance rather than discovered in production
  • Automatic retry with exponential backoff for transient failures
  • Dead-letter handling so a failed record is quarantined rather than lost
  • Idempotency, so a repeated message does not create a duplicate record
  • Full logging of every message sent and received, for troubleshooting
  • Alerting when a sync fails or falls behind schedule
  • A monitoring view showing the health of every connection
  • Secure credential storage with no secrets in code
  • Rate limit handling so a partner API is not overwhelmed
  • 30-day bug-fix warranty after launch

Not included: third-party fees such as API or connector licences on your existing systems, WhatsApp or SMS message charges, and n8n or server hosting. These are billed to you directly at cost and estimated in the quote.

How an integration project runs

Typical timeline: 3 to 8 weeks, depending on scope and how quickly access and content arrive.

  1. 012-5 days

Map the systems and the data

Which systems hold what, which is authoritative for each field, and what the current manual process does, including its exceptions.

  2. 021-4 days

    Assess the interfaces

What each system genuinely offers: a documented API, an undocumented one, a database, or only file export. This determines cost more than anything else.

  3. 032-5 days

    Design the flow

Direction of sync, frequency, conflict rules, failure behaviour and what a human should be told when something cannot be resolved automatically.

  4. 041-3 weeks

    Build in a sandbox

Built and tested against test environments or copies, never directly against live data.

  5. 051-2 weeks

    Parallel run and reconcile

The integration runs alongside the manual process and both outputs are compared until they agree consistently.

  6. 06Ongoing

    Cut over and monitor

The manual step is retired, monitoring and alerts go live, and the connection is documented for whoever maintains it next.

Business benefits

What connected systems change

What tends to happen, not a guarantee.

  1. 1

    The retyping step disappears

Data entered once flows everywhere it is needed, which removes both the labour and the transcription errors.

  2. 2

Systems that agree with each other

Stock, pricing and customer information stay consistent, so decisions are made on the same facts everywhere.

  3. 3

    Faster operations

An order can move from placement to dispatch instruction in seconds rather than waiting for the next manual batch.

  4. 4

    Failures you find out about

Monitoring and alerts mean a broken connection is discovered by you, not by a customer.

  5. 5

More value from software you already pay for

Connecting existing systems is usually far cheaper than replacing any of them.

Questions

API & system integration FAQs

Not covered here?

Ask us directly
Our old software has no API. Can it still be integrated?

Often, yes, but the approach differs. Many systems allow direct database access with a read-only user, which is the cleanest fallback. Others support scheduled file exports we can pick up and process. In a few cases the only route is automating the interface itself, which is fragile and we recommend it only when nothing else exists. We assess the options and tell you honestly what each will cost to run.

What happens if one system goes down?

Messages are queued rather than lost. The integration retries with increasing gaps, and if it still cannot deliver, the record goes to a dead-letter queue and someone is alerted. When the system returns, the queue drains automatically. Nothing silently disappears.

How do you stop duplicate records being created?

Every message carries an idempotency key derived from the source record. If the same message is delivered twice, the second one is recognised and ignored. This matters more than it sounds, because webhook delivery is retried by design across most platforms.

Which system should be the master?

It is decided per field rather than per system, and it is one of the most important decisions in the project. Your ERP might own pricing while your website owns customer contact preferences. We document this mapping so the rule is explicit and reviewable rather than implied by whichever code ran last.

How long does an integration take?

A single well-documented connection between two modern APIs is often three to four weeks, including the parallel run that proves it before the manual step is retired. Integrations involving legacy systems, undocumented APIs or complex two-way synchronisation take longer, typically six to eight weeks.

Can you use n8n rather than custom code?

Yes, and often we do. n8n is a good fit for flows your team may want to adjust and for connecting services that already have nodes. Custom code is better for high volume, complex transformation logic or where the flow needs proper testing. We pick per case and explain the reasoning, including who will maintain it.
